How a Video Quote Works, and What Happens to the Video
At CNS Logistics, you film one short video per room in your phone's browser. Still images taken from the video are analysed by Anthropic in the United States, to check the footage and draft a first list. A CNS estimator checks every line, you confirm the list, and a person sets the price.

How It Goes, Step by Step
You Fill In the Form
The rooms, the access and both addresses: the floor, the stairs, the elevator, where the truck can park. These answers prepare the quote and plan the crew.
You Film Each Room
One short video per room, in your phone's browser, with no app. The page tells you what to show, and tells you right away if the clip is clear enough. You also film the path to the truck and the building access.
An Estimator Checks the Inventory
Software drafts a first list from still images taken from the video. A person checks it, line by line.
You Confirm the List
What goes, what stays. If a line is wrong, you fix it before the price.
Steps 5 to 8 apply to the guaranteed move only: "A guaranteed move is offered for a move that CNS packs, that starts at an address in Quebec, for a customer who lives in Quebec when the contract is made. The move may end in Quebec or in Ontario."
(clause 2). For other moves, after the estimator checks your video, we send you a quote at our hourly rates, without a fixed price.
We Write You the Price
It is set by a CNS moving consultant, from your checked inventory. You get the offer by email, as a PDF, with the table filled in and your inventory list (clause 34).
On the Packing Day, the Crew Lead Films Your Furniture
Before touching anything, with you present. That is the proof of its condition (clause 24). Then the crew packs everything in the filmed spaces.
The Move Day
Loading, the drive, unloading, and each piece in the room you choose (clause 4). The balance of the fixed price is paid at the destination, before unloading (clause 17.1).
Before You Film
- Ask everyone else to step out of each room before you film. No one else should appear, and children must not appear.
- Put documents and mail away before you film; turn screens off (a television or monitor that is off is filmed as an item); framed pictures and photos stay up and are filmed as part of the room, from a distance, with no close-up.
- Film only what the movers need to see: the rooms to be moved, the path to the door, and the building access.
- Film only if you live in the premises or are authorized to film every room shown. Do not film rooms used only by someone else, such as a roommate's bedroom.
- Anyone whose image ends up in the video may contact our Privacy Officer at info@cnslogistics.ca to see the footage, have it corrected or have it deleted.

1. Why we ask you to film
You film one short video per room, the path to the door, and the building access, right in your browser. The inside of a home is private: your video may incidentally show other people, photos, documents or screens, and we treat it as sensitive. On our server, we take still images from the video. Only those stills, never the video itself, go to Anthropic, a service in the United States, with the room names from your move form and fixed instructions: first, within seconds, to check that the room can be read so you can film again if needed, and later to draft an inventory list. A CNS estimator reviews every line, you confirm the list, and our team prepares your quote and plans the crew. We also keep the video as evidence in case of a damage claim. For a guaranteed move (one we pack, under the guaranteed-move contract), the video is also the record your fixed price is checked against; on such a move, the record of each item's condition, against which a damage claim is decided, is the crew lead's video filmed on the packing day, which you agree to in the guaranteed-move contract. We may compare the quote with the final bill to check how accurate our video quotes are. We link this video to your file by a job number in our job-management platform (Jobber) only. Before you film, tell the people you live with, film only what is needed, and make sure you are allowed to film the premises. The video file is kept as your phone made it; a phone can write details into it, such as its maker, model and the recording time.
2. How long we keep it
- If you do not book the move: deletion is due 30 days after the quote date.
- If you book the move: deletion is due 90 days after the move date.
- If there is a damage claim: the video used to decide the claim is kept at least one year after the decision, as the law requires. If you do not agree with our decision, we keep it for the three years the law gives you to go to court. It is kept longer if an appeal or another legal hold is still open.
- If the move is not booked and no quote date was entered: deletion is due 30 days after the first day of filming.
Each deletion above happens at the first nightly run after it falls due, or, if the server is down, at the first nightly run after the server is back, and yields if the law requires us to keep the footage longer.
For security, when you send your move form or start filming, a daily counter keeps your IP address with that day's counts for about 25 hours at most. When you open or confirm your inventory list through your link, our access log keeps your IP address and browser details for 12 months; the same log records each time our staff open your file. We keep the record of your consent while you are a customer and for 3 years after, unless the law requires us to keep it longer. That record does not contain your IP address or browser details. Backup copies of everything in this section are erased within 30 days of its deletion.
3. Your rights
You may ask to see your video, to have it corrected or to have it deleted; we answer every request within 30 days, as the law requires. You may withdraw your consent at any time by contacting our Privacy Officer (below). When you ask for deletion or withdraw your consent, a staff member sets the record's dates by hand within those 30 days, the files are removed at the first nightly run after that, and the backups follow within 30 days, unless a claim or a legal obligation requires us to keep the footage. You may also complain to the Commission d'accès à l'information du Québec (cai.gouv.qc.ca). When your information is communicated outside Quebec, you may also complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca). Inventory lists and the quote file are kept on their own schedule: 3 years after the move if you book, and 1 year after the quote date, or the first day of filming if no quote date was entered, if you do not book; they are deleted at its end, unless the law requires us to keep them longer; an entry copied into your invoice file is kept for the tax period (6 years). On the move day, the crew lead can show you your own record on his phone: the video of the rooms filmed, the confirmed list and the access as declared.

5. Where your information goes
Still images are analysed by Anthropic in the United States; before using this service, we assessed the risks as required by Quebec law and have a written agreement with Anthropic. In the United States, these still images and room names are subject to the laws of that country and may be accessible to its law enforcement and national security authorities. Everything this service stores is hosted by OVHcloud in Beauharnois, Quebec, including encrypted backups; under contract, OVHcloud affiliates outside the United States may access the information to keep the service available, secure and maintained.
Filming is optional. If you prefer not to film, or if you do not agree with one of the statements below, you can still get your quote the ordinary way: our online calculator, or by phone at 514-416-9610.
Please confirm each of the following:
- I agree that CNS Logistics may collect and use a video of the inside of my home to prepare my moving quote and plan the crew. I confirm that no one else appears in the video and, if my own child under 14 appears despite the filming instructions, that I consent as the person having parental authority.
- I agree that CNS Logistics may keep the video for the periods shown above and use it as evidence in a damage claim.
- I agree that CNS Logistics may send still images taken from the video, with the room names from my move form, to Anthropic in the United States to check the footage and to help draft the inventory list.
The Move-Form Notice
Privacy notice: this form. CNS Logistics collects the information in this form to prepare your moving quote and, if you accept it, to plan and carry out your move (booking, scheduling, invoicing). We collect it through this online form; if you attach files, we keep only the file name, size and type. Please do not include information about other people, and name each room by its use, not by a person. By providing this information, you consent to its use and communication for these purposes. Your form is linked to your file in our job-management platform (Jobber) by a job number and hosted by OVHcloud in Quebec. For security, when you send this form, a daily counter keeps your IP address with that day's counts for about 25 hours at most. Later, when you open or confirm your inventory list through your link, our access log keeps your IP address and browser details for 12 months. If you later film a video, still images from it, with the room names from this form, may be analysed by Anthropic in the United States, to check the footage and to draft the inventory list; your information may therefore be communicated outside Quebec. We keep the form's file: 30 days after it was sent if no filming ever uses it; if a filming used it and you do not book, 30 days after the quote date, or 30 days after the form was sent if no quote date was entered; if you book, 3 years after the move. The form is never deleted before the video of a filming that used it, and it stays while that video is kept with no end date; in each case unless the law requires us to keep it longer. The answers needed for your quote are copied into your quote file: the destination address if you gave one, how the movers get in and out at both addresses (building type, floor, elevator, stairs, parking and the distance from the truck to the door), where the rooms being moved are compared with the door the movers will use (same level, above or below), the special items with your notes, and the name, size and type of any file you attached. The room names from this form, including any you typed, are kept with your inventory list, and a fingerprint of the form and the list of the videos it asked for stay sealed in the inventory record. All of these are kept 1 year after the quote date if you do not book (1 year after the first day of filming if no quote date was entered), and 3 years after the move if you book, unless the law requires us to keep them longer. Backup copies of the form and of these records are erased within 30 days of their deletion. You may see or correct your information, or withdraw your consent to its use or communication, at any time by writing to our Privacy Officer: info@cnslogistics.ca.
